As an Office Clerk at Trophy Beauty, you’ll play a vital role in the day-to-day operations of the East Palo Alto Clubhouse of Boys & Girls Clubs Of The Peninsula. Supporting the efficient and safe operation of the program involves providing office, administrative, and logistical support.

Position Details:

  • Part-time, 25-28 hours per week.
  • Schedule: Monday through Friday, 2:30 p.m. to 8:00 p.m.
  • (DOE): $23.00 – $25.00 an hour.
  • East Palo Alto Clubhouse is the location.

Your Responsibilities:

Administrative & Site Management:

  • During program hours, manage the BGCP office and associated operations.
  • Monitor and track all members and visitors on site, including parents and volunteers.
  • Manage the sign-in and sign-out processes for students.
  • Please return all phone calls and messages as soon as possible.
  • Inventory office, first aid, and program supplies.
  • Maintain a neat, organized office space that promotes physical and emotional safety.
  • Promote a positive work environment, encourage teamwork, and facilitate constructive exchanges of ideas.
  • Manage the daily snack and lunch processes (if applicable).
  • As needed, plan and execute special events.
  • Assist with other duties as assigned.

Enrollment, Attendance, & Data Management:

  • Ensure daily attendance and enrollment at the site.
  • All enrollment data should be entered into Salesforce, BGCP’s database.
  • For site leadership staff and to comply with ASES reporting requirements, generate and communicate attendance and membership reports.

Student, Parent, & Outside Partner Relationships:

  • Develop positive relationships with students.
  • Maintain BGCP behavior standards and discipline policies.
  • Maintain high expectations for students and ensure their compliance.
  • Provide supervision to youth as requested, either in the office or as a replacement for a classroom instructor.
  • Ensure that enrollment and attendance issues are communicated with students and their families.
  • Every day, greet and welcome parents to the program.
  • Disseminate accurate and timely information about upcoming events and activities to members, families, and the public.
  • Establish positive relationships with all staff, students, volunteers, outside partners, and visitors.

  • Fluency in Spanish is strongly preferred.
